From here, you\u2019ll be able to perform all the necessary editing functions. This text box is maintained by Web Services and includes some helpful links that are relevant for website editors.<\/li><li><strong>Add New shortcut<\/strong>. This quick dropdown option from which you can add a post, media, page, external link, or user.<\/li><li><strong>Site title<\/strong>. The site title is displayed at the top of the admin bar. While on the dashboard or viewing the editor, clicking the title will take you to the front-end of the website. While on the front-end of the website, clicking this option will take you to the dashboard.<\/li><li><strong>My Sites<\/strong>. Hovering over this option provides a dropdown of all the GU WordPress sites you have access to, which allows you to easily navigate back and forth between them.<\/li><li><strong>Posts<\/strong>. From this option, you can view all posts,\u00a0<a href=\"https:\/\/sites.georgetown.edu\/1789-documentation\/content-editor\/pages-posts\/#post\">add a new post<\/a>\u00a0or\u00a0<a href=\"https:\/\/sites.georgetown.edu\/1789-documentation\/content-editor\/categories-tags\/\">manage your categories and tags<\/a>.<\/li><li><strong>Media<\/strong>. You can view all\u00a0<a href=\"https:\/\/sites.georgetown.edu\/1789-documentation\/content-editor\/images-media\/\">images and media<\/a>, edit images, as well as add new images.<\/li><li><strong>Pages<\/strong>. From here, you can view all pages or\u00a0<a href=\"https:\/\/sites.georgetown.edu\/1789-documentation\/content-editor\/pages-posts\/#pages\">add a new page<\/a>.<\/li><li><strong>External Links<\/strong>. From here, you can view and add\u00a0<a href=\"https:\/\/sites.georgetown.edu\/block-catalog\/formatting\/links\/#external\">external links<\/a>.<\/li><li><strong>Appearance<\/strong>. Under this option, you can view and\u00a0<a href=\"https:\/\/sites.georgetown.edu\/1789-documentation\/site-administration\/navigation-menus\/\">edit the menus on your site<\/a>.<\/li><li><strong>Users<\/strong>. Site managers can view, edit, add, and remove users from their site here. All other\u00a0<a href=\"#user-roles\">user roles<\/a>\u00a0will not see this option in the dashboard.<\/li><li><strong>Tools<\/strong>. This option is empty for GU WordPress site users as only Web Services has access to these options.<\/li><li><strong>GU Settings<\/strong>. These are site-specific settings that can be altered, including\u00a0<a href=\"https:\/\/sites.georgetown.edu\/1789-documentation\/site-administration\/site-settings\/#footer\">editing the footer<\/a>.<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading body-text-heading\" id=\"access-and-roles\">Access and Roles<\/h2>\n\n\n\n<p class=\"wp-block-paragraph body-text\">In order to be able to edit your Web Services-managed website, you\u2019ll need to first&nbsp;<a href=\"#gaining-access\">request access<\/a>&nbsp;and be approved by the current point of contact for the website.<\/p>\n\n\n\n<p class=\"wp-block-paragraph body-text\">When you are given access, you\u2019ll be assigned one of the&nbsp;<a href=\"#user-roles\">various user roles available<\/a>. Each of these roles has different permissions and capabilities, but the standard role is Editor.<\/p>\n\n\n\n<p class=\"wp-block-paragraph body-text\">Once you\u2019re all set with your access and assigned role, you can&nbsp;<a href=\"#logging-in\">log in to edit your website<\/a>&nbsp;and&nbsp;<a href=\"#dashboard\">start exploring the admin area<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading body-text-heading\" id=\"gaining-access\">Gaining Access<\/h3>\n\n\n\n<p class=\"wp-block-paragraph body-text\">To be granted access to edit a Web Services-managed website, you can follow either of these two steps:<\/p>\n\n\n\n<ol class=\"wp-block-list wp-block-list list list-ordered\"><li><strong>Contact a Site Manager for your website.<\/strong>&nbsp;The&nbsp;<a href=\"#user-roles\">Site Manager role<\/a>&nbsp;is typically granted to 1-2 people and has the ability to add and remove other users. Large sites with many editors that have a dedicated website editor are more likely to have a Site Manager. If you do not know the Site Manager(s) for your website or your website does not have one, follow the next option.<\/li><li><strong>Email the Web Services team.&nbsp;<\/strong>When in doubt, you\u2019re always welcome to email <a href=\"mailto:webservices@georgetown.edu\">webservices@georgetown.edu<\/a> and we can give you permission to edit your website. When emailing our team, it\u2019s helpful to include the following information:<ol><li>List of NetID\u2019s for users who need access.<\/li><li>Name and URL of the site you need access for.<\/li><li>Copy the existing main point of contact for your website or let us know why you need access. If you don\u2019t know the main point of contact, we\u2019ll reach out to the person we have listed in our records to confirm your access request.<\/li><\/ol><\/li><\/ol>\n\n\n\n<h3 class=\"wp-block-heading body-text-heading\" id=\"how-to-login\">How to Login<\/h3>\n\n\n\n<h4 class=\"wp-block-heading body-text-heading\" id=\"logging-in\">Logging in<\/h4>\n\n\n\n<p class=\"wp-block-paragraph body-text\">To log into a site, go to the site\u2019s homepage and add \u201c\/login\u201d to the end of the URL, following this format: [sitename].georgetown.edu\/login<\/p>\n\n\n\n<p class=\"wp-block-paragraph body-text\">This will bring you to a login page.<\/p>\n\n\n<div class=\"gu-block gu-block-image\">\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/sites.georgetown.edu\/wp-content\/uploads\/2018\/08\/shibboleth-login-275x300.png\" alt=\"Georgetown shibboleth login page\" class=\"wp-image-88\"\/><\/figure>\n<\/div>\n\n\n<p class=\"wp-block-paragraph body-text\">Enter your NetID and password when prompted. After logging in, the&nbsp;<a href=\"https:\/\/sites.georgetown.edu\/administration\/dashboard\">dashboard<\/a>&nbsp;for the site will appear.<\/p>\n\n\n\n<h4 class=\"wp-block-heading body-text-heading\" id=\"log-out\">Logging out<\/h4>\n\n\n\n<p class=\"wp-block-paragraph body-text\">To log out of a WordPress account, hover over the profile icon in the top right of the page. Closeout of the browser to fully log out.<\/p>\n\n\n\n<h3 class=\"wp-block-heading body-text-heading\" id=\"user-roles\">User Roles<\/h3>\n\n\n\n<p class=\"wp-block-paragraph body-text\">User roles determine the access level or permissions of a person authorized (invited by an Administrator) to use a GU WordPress site.<\/p>\n\n\n\n<p class=\"wp-block-paragraph body-text\">Each user role is capable of everything that a less powerful role is capable of. In other words, Editors can do everything Authors can do, Authors can do everything Contributors can do, and so on.<\/p>\n\n\n\n<p class=\"wp-block-paragraph body-text\">The roles are listed here from least powerful to most powerful. Please contact&nbsp;<a href=\"mailto:webservices@georgetown.edu\">webservices@georgetown.edu<\/a>&nbsp;if you have additional questions about user roles.<\/p>\n\n\n\n<h4 class=\"wp-block-heading body-text-heading\" id=\"contributor\">Contributor<\/h4>\n\n\n\n<ul class=\"wp-block-list wp-block-list list list-unordered\"><li>Create and edit&nbsp;<strong>only their own posts and pages.<\/strong><\/li><li>Cannot publish pages or posts.<\/li><li>When a Contributor\u2019s post or page is ready to be published, the Contributor must notify an Editor or Site Manager to review it.<\/li><li>Once a Contributor\u2019s post or page is approved and published, it can no longer be edited by the Contributor.<\/li><li>Contributors do not have the ability to upload files or images, but they can see the site\u2019s stats.<\/li><\/ul>\n\n\n\n<h4 class=\"wp-block-heading body-text-heading\" id=\"author\">Author<\/h4>\n\n\n\n<ul class=\"wp-block-list wp-block-list list list-unordered\"><li>Create, edit, publish, and delete&nbsp;<strong>only their own posts and pages.&nbsp;<\/strong><\/li><li>Upload files and images.<\/li><li>Authors cannot modify posts or pages by other users.<\/li><\/ul>\n\n\n\n<h4 class=\"wp-block-heading body-text-heading\" id=\"editor\">Editor<\/h4>\n\n\n\n<ul class=\"wp-block-list wp-block-list list list-unordered\"><li>Create, edit, publish, and delete all posts and pages (not just their own).<\/li><li>Manage categories, tags, and links.<\/li><li>Update the site footer.<\/li><\/ul>\n\n\n\n<h4 class=\"wp-block-heading body-text-heading\" id=\"site-manager\">Site Manager<\/h4>\n\n\n\n<ul class=\"wp-block-list wp-block-list list list-unordered\"><li>Considered the primary person(s) of contact for the site.
